Hannah Okafor asks to move Monday's lesson to Tuesday 4:00 pm Y3–4 Primary Maths, Group 01. Reason: school parents' evening

Try a lesson change

A tutor asks. The office decides. Families hear once.

Walk through a real TutorHQ sequence with fictional data: the request, the clash check, your decision and what changes afterwards. Nothing here is sent to anyone.

Step 1 · From the tutor's own page

Hannah asks to move Monday's lesson

"Can we move Monday's lesson to Tuesday at 4:00 pm? It's parents' evening at my school."

The request goes to the office's Today screen, with the lesson, the reason and the suggested time. Nothing changes for families yet.

A simulation with fictional names. In TutorHQ the same steps run on your own lessons and families.

For your team

Three ways in. Each one shows what that person needs today.

The office sees the whole centre. Tutors see their own groups. Parents see their own children. The server enforces it, not only the screen.

The office

Admins, coordinators and finance staff

  • What needs a decision comes first: tutor requests, held seats, absences and overdue balances
  • Groups, calendar, waiting list, families and tutors in one place
  • Permissions per person, so money stays with the people who handle accounts

Next actionApprove Hannah's lesson move

Groups and families

Built for groups, and for families with more than one child.

Each group has its year, subject, tutor, times, seats and rules. Brothers and sisters sit under one parent, so the office writes to a household, not to a list of children.

  • Seat counts that can't be overbooked, and a waiting list with each family's times
  • Held seats that parents confirm from their own page
  • A tutor or a child can't be booked into two lessons at once
  • One morning reminder per parent, with every child's lessons in it

Good morning Rana. Today Maya has Primary Maths at 4:00 pm, and Leo has Y8 Science at 5:30 pm. Both lesson links are on your TutorHQ page.

Reminders are drafted each morning. The office reads them, changes any wording and sends them in one go, or lets them go out on their own.

Attendance, fees and pay

One lesson, four records that agree with each other.

The register, the parent's bill and the tutor's pay all come from the same lesson, so a lesson is charged once and paid once. Amounts below are illustrative.

  1. The lesson

Y10 Biology, Group 04, Monday 5:00 pm with Priya Raman.

  2. The register

Every student is marked before the lesson can be completed.

  3. The invoice line

Charged by your rules: excused absences aren't charged.

    Amara O.£18.00
    Sami K. (excused)£0.00
  4. The tutor's pay

Completed lessons and the group's rate become a pay statement the office approves.

    This lesson£30.00
    On a statementOnce, ever

Bill the way you already do

After lessons, a monthly fee on your billing day, or prepaid lesson packages. Invoices go from draft to raised, sent and paid.

Parents pay from their page

By card through Stripe once you connect it. Cash, bank transfers and cheques are recorded by the office.

Mistakes stay fixable

An invoice raised in error can be voided, refunds are recorded with a note, and repeated absences raise an alert.

From register to pay

Every pound traced from the register to the tutor's statement.

Watch one week's money settle: the register creates the charges, the charges make the invoice, the payment is matched to it, and the same lessons become the tutor's pay statement. Fictional centre, illustrative amounts.

Questions

Questions centres ask.

Do parents need to download an app?

No. Parents open their own page in any browser to see lessons, homework, attendance, messages and bills. Messages are also emailed once you connect an email provider.

How do tutors ask for a change?

From their own page they choose cancel, postpone or move, give a reason and suggest a time. The office approves, picks another time or rejects it, and parents hear only after the decision.

We use spreadsheets now. How do we move?

Parents, students and tutors import from a spreadsheet, and the import checks each row before anything is saved. We help you set up groups and rules. See Switching to TutorHQ.

Can parents pay by card?

Yes, through Stripe, from their own page. Stripe charges its own fee; TutorHQ takes no percentage. Cash, bank transfers and cheques can be recorded too.

Where is our data held?

In one database on a server we manage, with nightly backups. We confirm the hosting provider and location in writing before you sign, so tell us at the start if you have a requirement.

Can we get our data out?

Any time. Reports export to Excel or CSV or print as PDF, and staff with the export permission can download your records from Settings.
