Switching to TutorHQ

Moving a centre is a project, not a button. Here is the order we work in, what comes across and what doesn't, and how TutorHQ compares with TutorCruncher's public pages.

The move, step by step

We do these together with your office, in this order, so families keep getting the right messages throughout.

  1. List what you haveWe go through the exports your current system or spreadsheets can produce: families, students, tutors, groups, timetables and balances.
  2. Agree how each field mapsWe agree which of your columns become which details in TutorHQ, such as a parent's email, a child's school year or a tutor's subjects and available times.
  3. Import a sample firstTutorHQ's spreadsheet import can check a file before saving anything. It lists each row that needs fixing and why, such as a missing name, an invalid email or a parent who already exists.
  4. Check relationships and moneyWe confirm that siblings sit under the right parent, students are in the right groups, and what each family owes is agreed against your current records.
  5. Train a pilot groupA few office staff, tutors and families use TutorHQ first, so questions surface before everyone moves.
  6. Choose the cutover dateUsually the start of a week or a half term, when the fewest lessons are mid-change.
  7. Turn off duplicate notices in the old systemStop reminders and automatic messages in your old system before TutorHQ's go out, so no family is told twice. Until then, TutorHQ's morning reminders can be switched off or set to wait for review.
  8. Reconcile again after cutoverWe compare family, student and group counts and balances between the two systems once more, and fix any differences.
  9. Agreed support windowWe stay closely involved for a support period after cutover. Its length is set in your quote.

What can be transferred

What comes across depends on what your current system can export. This is what TutorHQ can take in today.

Imported from a spreadsheet

  • Parents: name, email, phone, area and how they pay
  • Students: name and school year, linked to their parent so siblings share one account
  • Tutors: name, email, phone, subjects, available times, online or in person, pay rate and background-check status and expiry
  • Waiting-list requests: subject, level, online or in person and the times that suit

Set up in TutorHQ with our help

  • Groups, with their tutor, days, times, term dates, seats, fees and rules
  • Which students are in which group
  • Message templates in your wording

Not transferred

  • Passwords. Everyone sets a new one from an invitation.
  • Card details and saved payment methods. Parents who pay by card do so through Stripe from their TutorHQ page.
  • Outstanding balances. They aren't imported; we agree with you how each one is settled or carried across before cutover.
  • Past message, attendance and invoice history. Keep your old system's exports as the record of that period.
  • Anything your current system can't export.

Imported details are checked again. Imported tutor availability counts as unconfirmed until each tutor confirms it, and imported waiting-list requests stay unconfirmed until the parent confirms them.

What this comparison doesn't show. We haven't compared total cost, because TutorHQ's price is quoted per centre and depends on your size. We haven't tested TutorCruncher's product. Plans and prices change, so check the linked pages for current terms.
